REPORTING TO

  • PURPOSE OF THE JOB
  • The Legal Assistant will be tasked with a variety of duties to support the internal legal and governance practice, including conducting legal research, drafting legal letters and contracts, maintaining case files, ensuring statutory filings and record keeping.
  • The Legal Assistant will be responsible for supporting the internal legal and governance practice to ensure deadlines are met and quality advice and drafting is delivered to the business.
  • The Legal Assistant will assist the Head: Legal & Governance prepare for board and sub-committee meetings and internal and external hearings.
  • The Legal Assistant will use innovative technology including (including Sharepoint, Libryo and Diligent Boards) for organising and managing the board and sub-committee meeting packs, statutory records, contracts and proof of legal compliance.

KEY PERFORMANCE AREAS

  • Provide administrative support to enhance practice operational effectiveness and excellent business partnering and service delivery.
  • Administrative internal hearing and external litigation support including hearing bundles.
  • Conduct basic legal and other research, including on various area of the law-more specifically on mining, employment, company, health, safety and environmental laws.
  • Draft basic legal letters.
  • Populate basic service and supply and skills development contract templates.
  • Board secretarial support including attendee liaison, meeting logistics and board packs compilation and distribution.
  • Maintaining conflicts disclosure register.
  • Super user on regulatory compliance and board pack ICT systems.
  • Liaise with internal clients (HOD’s / Executives) and external legal and governance service providers to co-ordinate stakeholder input to key projects and progress reports.
  • Liaise with minute taking service provider to ensure meeting attendance and delivery in accordance with service levels.
  • Liaising with outsourced CIPC filings service provider to ensure annual returns, compliance checklists and other ad hoc CIPC filings are completed in accordance with Companies Act requirements.
  • Proof-reading and formatting of letters, contract and board submissions
  • Monitor administration and deadlines.
  • Provide basic secretarial support, including diary management, travel arrangements and documents, travel and expense claims, credit card reconciliations and legal budget purchasing and invoicing administration.
  • Answer and direct phone calls and take messages.
  • Maintain key internal and external contact lists.

MINIMUM QUALIFICATIONS REQUIRED

  • Matric (Grade 12)
  • Legal Assistant / Paralegal certification or diploma
  • Business administration preferred
  • Business writing preferred
  • MINIMUM EXPERIENCE AND KNOWLEDGE REQUIRED
  • 5 years within a law firm or in-house legal practice

 

  • Proven working experience as Paralegal, Legal Assistant or Legal Secretary
  • Familiarity with commercial laws and dispute resolution procedures
  • Knowledge of day-to-day operations of a legal office
  • Computer literacy (especially MSWord, MS Powerpoint, MS Outlook)
  • Proficiency in spoken and written English
