Please note this is an IN OFFICE position in the Westlake / Tokai area in Cape Town’s Southern Suburbs.
Duties & responsibilites
- Reception – Answering telephone, receiving deliveries, receiving visitors, arranging teas & coffees etc.
- Ensuring front office and boardroom is clean and presentable at all times
- Office maintenance – Liaison person for service companies & obtaining comparative quotes
- Stationery & Office consumables – Completion of stationery orders for approval and pricing checks by Partner
- Oversee post and banking daily, grocery shopping weekly
- Writing up deposit book and ensuring that banking, collection / dropping off of post and general purchases when required.
- Ensuring that kitchen is fully stocked at all times
- General typing, filing and administration
- Maintaining the Practice Partner’s calendar on Outlook
- Updating birthday list, arranging birthday cards and gifts for staff and sending birthday SMS to client
- Arranging staff functions / catering in conjunction with entertainment committee
- Completion of delivery/collection book
- Travel arrangements
- Printing of labels for files
- Liaison with IT support
- Supervise cleaner
- Preparation of client information request letters
- Assistance with recruitment process
- Completion of sick leave forms for staff and maintain staff leave records
- Booking of training courses & seminars
- Practice marketing – sending out client circulars, newsletters, advertising, update website etc.
- Assisting in the secretarial and tax department with filing and various administration tasks
